Donation Campaign

The Donation Campaign is used to enter the fundraising campaigns that are associated with donations. The Donation Campaign Code Table category provides the values that may be selcted when allocating a specific donation campaign. Donation reports summarize donations according to these campaigns. The Result Value is the name of the donation Campaign. These names are also found in the donation campaign drop down when Inserting a Donation. The Account Column displays the General Ledger Accounts that revenue for a particular donation is allocated to. The Description Column displays the GL Account description.

 

 

Inserting a New Donation Campaign

Before a new donation campaign is created, a General Ledger Account number should be set up for it. Most commonly the donation campaign accounts will fall under the heading Other Income in the General Ledger Accounts Window.

  1. Open the Donation Campaign Tab in Code Tables.

     

  2. Click the Insert Button on the Toolbar.

    The entry of Donation Campaign window will appear.

  3. Enter the Donation Campaign.

    This is the the description of the Donation Campaign that you are creating. This text appears as the code table result value. Eg. Goods In Kind, Corperate Sponser, Grants, Individual Donors.

  4. Enter the GL Account Number.

    This is the GL number that sales revenue for this Donation Camapaign will be allocated to. Type in the full 8 digit account number here, or you can use the drop down list on the right side of this field to assist in the selection of the account number.

  5. Click Save.

    The new Donation Campaign has now been created and is ready for use.

 

Deleting a Donation Campaign

Before you actually delete a Donation Campaign it is important to ensure that you have no outstanding non-posted donation sales for the Donation Campaign. If you have sold one of these donations and it has not been journalized, make certain that you Create a Sales Entries, Deposit, and Post the General Ledger Entries prior to deletion. If you do not do this, your General Ledger will go out of balance at the end of the day due to a missing account. To be more specific, a missing Donation Campaign account. This is because the Donation Campaign was deleted before the donation revenue was journalized. Deleting the Donation Campaign breaks the link between itself and the General Ledger Account Number.

  1. Click on the Donation Campaign that will be Deleted.

    The Donation Campaign should now be highlighted.

  2. Click the Delete Button on the Toolbar.

    The following Dialogue Box will appear:

  3. Click Yes to Delete the Donation Campaign.

    The donation campaign is now deleted.
